For warehouse and third-party logistics operations teams

Dock bookings, goods-in exceptions and shift handovers, out of the spreadsheet

Northspur Logistics builds Power Apps, Power Automate, Teams and SharePoint workflows for the people running a warehouse floor: transport office, goods-in, shift leaders and customer service. Slots get booked without clashes, damage and shortages get logged once with photos, and the next shift knows what’s still open.

Where the workflows sit in goods-in

A typical inbound flow, and the points where a small app or an automatic message replaces a phone call, a whiteboard or a paper sheet. Illustrative; your own steps are mapped first.

  1. Slot bookedTransport office books a dock slot; clashes are flagged
  2. ArrivalVehicle checked in against its booking at the gate
  3. Door assignedDoor and time posted to the goods-in channel in Teams
  4. Unload and checkQuantities and condition checked against the advice
  5. Exception loggedDamage or shortage recorded with photos; account manager notified
  6. HandoverOpen exceptions and dock status passed to the next shift

Steps 01–03 belong to dock booking, 04–05 to exception logging, and 06 to handovers.

Services

Each workflow is built with a small group of your staff, tested on the floor, then handed over with documentation so your team can change it later.

WF-01

Dock-booking workflows

Power Apps · SharePoint lists or Dataverse · Power Automate · Teams

A booking app for your transport office that shows free slots by door and day, stops double bookings, and sends confirmations.

  • A slot calendar by door, with your opening hours and slot lengths
  • Clash checks for door, time and load type
  • Booking confirmations and changes sent automatically
  • Each morning’s dock plan posted to the goods-in Teams channel

Good to know

This is an internal tool. Letting carriers book for themselves usually needs an external portal, such as Power Pages, and different licences. We assess that separately.

Doesn’t replace a warehouse management system. It sits alongside one.

WF-02

Goods-in exception logging

Power Apps · Power Automate · SharePoint · Teams

A phone or tablet app for logging what didn’t arrive as expected, at the dock, while the vehicle is still there.

  • Exception types you choose: damage, shortage, over-delivery, wrong product, missing paperwork
  • Photos, booking reference and customer code captured with each one
  • The right account manager or customer-service queue notified straight away
  • An exception register with status, owner and date closed

Good to know

Use customer codes rather than personal names where you can. Photos are stored in your own SharePoint, under your retention rules.

The register records what happened. Claims and credit decisions stay with your team.

WF-03

Internal notifications and operational handovers

Microsoft Teams · Power Automate · SharePoint

A consistent end-of-shift handover and a small set of automatic messages, so information reaches the people who act on it.

  • Teams channels by site or area, with clear rules on what goes where
  • A shift-handover form that pulls in open exceptions and today’s dock plan
  • Escalation messages when an exception stays open past an agreed time
  • A handover procedure written down in SharePoint

Good to know

Frontline staff often have frontline Microsoft 365 licences. We check what yours include before designing anything.

Automatic messages are kept few and specific, so people keep reading them.

On the floor

Three everyday situations and how the workflows handle them. Illustrative examples, not client projects.

  • ILLUSTRATIVE

Two vehicles booked for door 3 at 08:00

The booking app refuses the second slot and offers the next free door. Nobody finds out at the gate.

  • ILLUSTRATIVE

A pallet arrives with crushed corners

The checker logs damage with three photos before the driver leaves. The account manager gets the details in Teams within minutes.

  • ILLUSTRATIVE

Night shift ends with three open exceptions

The handover form lists them with owners, so the morning shift doesn’t have to piece it together from a notebook.

Licences

Some features, such as Dataverse storage, premium connectors and external portals, need licences beyond a standard Microsoft 365 plan. We list exactly what each design needs before you commit.

Free: Warehouse Exception Handover Checklist

A printable end-of-shift sheet for goods-in: open exceptions with owners and next actions, dock status, and a short checklist for shift leaders to run through before they leave. It prints in landscape and works with or without any software.
